Audit-Ready in 15 Minutes: 5 Things to Check Before a California Dental Inspector Arrives

Inspections often start with the basics. If an inspector shows up unexpectedly, this 15-minute run-through targets the five things most likely to trigger citations — quick, practical, and easy to verify.

Licenses & CE proof — visible and current
Keep current license copies for each provider in one folder (digital or printed). Confirm the CE matrix shows required hours met for the renewal period. If a certificate is missing, note the course name and enrollment confirmation.

Patient chart spot-checks — 3 quick scans
Pull three recent charts (different providers). Confirm dated progress notes, signed informed consent for any procedures, and radiographs labeled with date and provider. Correct issues with a dated addendum — do not backdate notes.

Infection control essentials — visible records
Grab the sterilizer BI (spore test) log, the last weekly/biologic test date, and the written infection control plan. Make sure staff training signatures for the past year are accessible.

Emergency readiness — AED/oxygen/CPR
Verify current CPR certificates are posted or in personnel files and check that emergency drugs/equipment (oxygen, intubation tray if required) are present and within inspection view. Note the last equipment check date.

Controlled substances & waste — basic receipts
Have recent disposal manifests or pharmacy receipts handy and confirm a recent inventory reconciliation if you dispense meds. For amalgam, show separator maintenance records or municipal receipts.

A quick 15-minute check of licenses/CE, a few patient charts, infection-control records, emergency gear, and basic controlled-substance/waste receipts will eliminate the most common citation starters and keep your office inspection-ready. Do this routinely and assign an audit point person to avoid last-minute scrambling.
